Job Title: Executive Administrative Assistant
Department: Administration
Reports To: President/CEO
FLSA Status: Exempt
Position Summary
The Executive Administrative Assistant provides high-level administrative support to the President/CEO while ensuring efficient daily operations of the Chamber. This role supports board governance, member engagement, and office coordination, serving as a key point of contact for members, stakeholders, and the public.
Key Responsibilities
Executive & Board Support – Manage President/CEO calendar, meetings, reminders, and follow-ups – Prepare reports, spreadsheets, and purchase orders – Coordinate Board and Executive Board meetings (agendas, packets, scheduling, minutes) – Maintain organized board records and assist with annual board processes
Office & Administrative Operations – Serve as front office contact: greet visitors, answer phones, manage mail – Maintain office organization, supplies, kitchens, and meeting spaces – Coordinate with vendors (cleaning, supplies) – Oversee Certificate of Origin processing and records
Calendar & Facilities – Schedule meeting rooms for staff and members – Coordinate meeting logistics (setup, catering, technology) – Maintain annual calendars for board meetings, councils, and key events
Events & Member Engagement – Support Chamber events (registration, tracking, setup, logistics) – Assist with ribbon cuttings, ambassador activities, and member recognition
Qualifications
- Administrative or executive assistant experience
- Demonstrated experience supporting senior leadership and/or a board of directors
- Strong organizational, multitasking, and time management skills
- Excellent written and verbal communication skills
- Ability to work independently while supporting a team-oriented environment
- Proficiency in Microsoft Office and ability to learn new systems

Work Environment
Office-based role with occasional event support. Requires sitting, standing, and light lifting (up to 10 lbs).
